Food and Business Vendors

2025 NWSF Vendor Applications are Available

Please review the following information prior to submitting your application.

The Vendor Services Team conducts the selection and location layout placement process for the Fair. The selection process is as follows:

December 2024 –

  • Prior year Vendors/Exhibitors that we are inviting back will be emailed a license based on the prior year same parameters to be completed and returned to Vendor Services Department. Any necessary changes needed in space, electrical, etc. should be made on the license prior to signing and returning. A new license will be generated with the changes.
February 1, 2025 -
  • Licenses for prior year Vendors/Exhibitors are due.
February 15, 2025 -
  • New Vendor applications will be considered:
  • Selection of new Vendors will continue until all available space is filled.
  • Please do not send a deposit with your application. Applying does not guarantee a space at the Northern Wisconsin State Fair.
If your application is selected, you will be notified, and a Vendor License Agreement will be sent to you.
If your application is not selected, no notification will be sent out and we suggest you fill out a new application annually.

GENERAL VENDOR INFORMATION

*All vendor spaces (indoor and outdoor) are licensed for the duration of the Fair

2025 Locations & Rates:

WEAU 13 News Building A:
  • 12,100 SQ FT of vendor space (54 vendors) with concrete floor and 12’ ceilings. Commercial, informational and attraction vendors are welcome. Booth spaces are available in approximately 10' x 10’ increments and include 15amp electricity, back, side pipe and drape, and Wi-Fi. The rate is $500 per booth with additional booths at $250 each.
Building C:
  • 12,000 SQ FT of vendor space (55 vendors) with concrete floor and 12’ ceilings and air conditioning. Commercial, informational and attraction vendors are welcome. Booth spaces are available in approximately 10' x 10’ increments and include 15amp electricity, back, side pipe and drape, and Wi-Fi. The rate is $600 per booth with additional booths at $300 each.
Royal Credit Union Building B:
  • 5,175 SQ FT of vendor space with concrete floor and 12’ ceilings. Commercial, informational and attraction vendors with an emphasis on STEM/STEAM are welcome. Booths are available in approximately 10' x 10’ increments and include 15amp electricity, back, side pipe and drape, and Wi-Fi. The rate is $500 per booth with additional booths at $250 each. (Non-Profit Vendors who provide Educational Demonstrations - Please call Beth at 715.723.2861 Ext. 104 for special pricing in this building.)
Outdoor Rental:
  • Outdoor commercial exhibit space is along roadways and available in 10’ wide x 30’ deep increments (with a few exceptions). The cost will be $250 per 10 feet of frontage. All tents, stakes, displays, equipment, vehicles, and vendor property must be inside the allocated space. Food/Merchandise Vendor rate is $350 or 17% of gross sales (less sales tax) whichever is greater. Electricity fees are extra per the electricity chart completed with the application.

Fair Admission:

Each vendor receives two week-long admission passes, 10 single-day comp admission tickets, and one week-long general parking pass (Parking is not guaranteed during busy times). Additional tickets may be purchased, and complimentary admission tickets may be upgraded to week-long admission passes for $15 each.

Insurance:

All vendors must provide a current Certificate of Liability Insurance (minimum of $1,000,000 coverage) listing the vendor as primary insured and Northern Wisconsin State Fair Association, Inc. listed as additional insured. This Certificate must be received by NWSF Office two weeks prior to the opening day of the fair. NWSF may request a liability policy to review coverage and exemptions. If necessary, a liability coverage rider can be purchased through NWSF's policy and will be charged to the vendor. Please call Beth at 715.723.2861 Ext. 104 for further information.

Signs:

All signage used by vendors must be professionally made. Handwritten signs of any type are not allowed. Signage is not allowed to be displayed on walkways creating trip hazards and impeding traffic flow.

Vendor Payment Policy:

Vendors are required to pay the license total within 14 days of the license date or the contract will be canceled. Payment can be made by cash, check, credit card, money order, or cashier’s check. Credit card payments $500 and over will be assessed a 4% service fee. Vendor licenses must be paid for in full by June 1, 2025, or space will be freed up to the waiting list. Pricing includes deposit, electricity, wi-fi, and camping fees (If applicable). FOOD VENDORS AND OUTSIDE MERCHANDISE VENDORS ARE REQUIRED TO REPORT SALES ON A DAILY BASIS TO VENDOR MANAGER LOCATED IN THE VENDOR OFFICE EACH MORNING. IF THE 17% EXCEEDS THE $350 DEPOSIT, SETTLEMENT WILL BE DONE BY SUNDAY EVENING AFTER THE CLOSE OF THE FAIR.

Ice, Water, and Soft Drinks:

NWSF will be the sole supplier of ice, bottled water, and soft drinks purchased through Pepsi-Cola. Vendors are not allowed to purchase these items other than through the NWSF. Daily delivery of these will be provided by NWSF staff.

Building Hours: 10 AM – 5 PM

Outside Vendor Hours: 10 AM - 5 PM

*Food and Beverage: (delivery of water/ice/ Pepsi) Before 9:00 AM

**NO vendor vehicle access after 9 AM
